Connect Corpay One to Sage Intacct - Standard Configuration Guide

To configure the integration, please ensure you have:

  • Full Admin permission in Sage Intacct

  • Account Owner/Admin role in Corpay One

This document offers clear, step-by-step instructions for syncing with Sage Intacct. It will guide you through setting up a Single-Entity Sage Intacct account with Corpay One, ensuring that bills and payments sync effectively at the top level.

What does the Sage Intacct integration do?

Corpay One's integration with Sage Intacct automatically syncs document and payment data between the two systems. This includes vendor invoices and payments.

  • When you submit an invoice in Corpay One, it automatically posts an Accounts Payable (AP) bill entry in Sage Intacct with the status "Posted." If the vendor is not listed in Sage Intacct, Corpay One will create it for you.

  • When you pay the bill through Corpay One, the integration updates the AP bill in Sage Intacct to "Paid."

What data can I sync between Corpay One and Sage Intacct?

Here's how data flows between Corpay One and Sage Intacct:

  • For this initial release, the integration will not support multi-currency, multi-entity, or tax modules. If you use any of these features, please click here to provide more details so we can improve your experience in future updates.

  • If you have workflow approvals enabled in Sage Intacct, you will need to disable them for this integration to work seamlessly.

How do I set up the Sage Intacct integration?

Subscribe to Web Services

To add Corpay One's Sender ID to Sage Intacct’s allowed list:

  1. Go to the Applications drop-down menu, and select Company > Subscriptions.

  2. Locate and click on Web Services to subscribe.

Create a Webservice Sync User with Full Permissions in Sage Intacct

  • Visit your Sage Intacct account, go to the Applications drop-down menu, and select Company.

  • Click on the Admin tab, then click the new icon (⨁) next to Web Services Users.

    • User ID: Enter "CorpayOneIntegration".

    • Username: Enter "CorpayOne Integration".

    • Email: Use a valid email address; Sage Intacct will send the temporary password here.

    • User Type: Select "Business".

    • Admin Privileges: Select "Full".

    • Contact Name: Enter a first and last name.

  • Now to add the Role Information

    • Click on the Role Information tab next to the User Information tab.

    • In the Role Name field, select the Role from the drop-down list. If the role hasn't been created, click Add to create a new one.

    • Fill in the name you would give the Role and input the description.

    • Click on Save.

Note: You can set up the role and assign permissions before creating the web user in Sage Intacct.

  • Once you have inputted the User and Role information, click on the "Save" button and you will need to input the password sent to the email listed in the account email address.

Now, it's time to add Permissions to the Role

  • From the Applications drop-down menu, select Company.

  • Click on the Admin tab.

  • Click on Roles and select the role assigned to the WebUser, e.g., "Corpay One Integration."

  • Click Edit and then go to the View Subscriptions tab.

  • Select the subscriptions below and enable all permissions.

    • Administration

    • Company

    • Cash Management

    • General Ledger

    • Accounts Payable

    • Platform Services

    • Projects

    • Inventory Control

    • Consolidation

    • Custom Dimensions

  • Click Save.

Add RogerMPP as a Trusted Sender ID for Web Services in Sage Intacct

  • Visit your Sage Intacct account, go to the Applications drop-down menu, and select Company.

  • Click on the Setup tab, then choose Company under Configuration.

  • Click the Security tab.

  • Click Edit.

  • In the Web Services Authorizations section, click Add.

  • Enter RogerMPP in the Sender ID field, and ensure the status is Active.

  • Click Save.

You’re now ready to set up the integration in Corpay One.

1. Navigate to Settings > Integrations and locate the Sage Intacct integration in the overview. Click on the Sage Intacct box, and then click on Connect just below the Sage Intacct logo:

2. Now, another window opens. Here you will see a list of the permissions you need to give Sage Intacct to access your data in Corpay One. Click Allow at the bottom to continue:

3. You will now see any existing Sage Intacct integrations on companies you are part of. Click Connect to start the integration setup:

4. Input your Sage Intacct credentials to log in to your account. Click Next to proceed.

5. Select the default accounts you want to import into Corpay One. In Corpay One, accounts are referred to as 'categories'. Also, choose a default G/L account or credit card offset account, and a default payment method (source) that will be applied to documents in Corpay One if none has been selected. Click Next to continue:

6. Choose a default location to be applied for documents in Corpay One if no other location is specified. Click Next to proceed.

7. Enable the toggle if you want Corpay One to add purchase "Items" to your invoice in Sage Intacct. This is for users who have Inventory Control enabled in Sage Intacct. Click Next to continue:

8. (ONLY RELEVANT FOR UK Teams) Enable the tax code if you want to apply tax codes to your documents and click Next to continue

9. Select your preferred journals to track receipts synced from Corpay One to Sage Intacct.

10. For teams with a Corpay One MasterCard, enable the toggle to sync card transactions and payments to your selected journal. You can choose an existing account for these transactions or allow Corpay One to create a new one. Additionally, you can synchronize up to 3 months of historical transactions with your preferred journal in Sage Intacct by enabling the sync historical card transactions toggle.

11. Click the complete tab to finish the integration setup. When that's done, you will see this screen that confirms the connection between Corpay One and Sage Intacct:

That's it!

You will be sent back to the initial Sage Intacct integration page that confirms that your Sage Intacct integration has been set up (notice that the Connect button has now changed to Configure).

How do I disconnect from Sage Intacct?

  • Go to the Sage Intacct integration page and click the Configure tab just below the Sage Intacct logo. This opens a window where you click Disconnect to disconnect Corpay One from your Sage Intacct account. You can also edit the existing integration by clicking Configure.
