How to Set-Up Corpay One Integration with Microsoft Dynamics 365 Business Central via the Business Central directly

Note: The Corpay One - Microsoft Dynamics Business Central Integration is configurable with the standard Business Central setup model. Any customization to the setup of your Business Central ERP e.g. customized accounting preferences or columns in ledgers, accounts or line items may not be compatible with our current integration.

This article describes how you set up and use Corpay One's integration for Business Central accounting software.

We've partnered with Business Central, a premier accounting software, to offer customers an easy way to sync their Corpay One tasks with the rest of their financial records.

What does the Business Central integration do?

Corpay One's integration with Business Central automatically syncs approved invoices and payments from Corpay One to Business Central.

  • When a bill is approved for your Corpay One account, the integration automatically creates a vendor expense entry in your Business Central account under that vendor. If the vendor isn't already on your vendor list in Business Central, Corpay One will automatically create it for you.

  • When the approved bill is paid via Corpay One, the integration automatically creates a vendor payment entry in your Business Central account under that vendor.

What data can I sync between Corpay One and Business Central?

Here's how data flows between Corpay One and Business Central (the arrows in the middle column show which directions the data flows):

Step 1: Navigate to Extension Management

  • Open your Microsoft Dynamics 365 Business Central ERP

  • Use the search bar at the top right-hand corner of the page and type in 'Extension Marketplace'

  • Use the search bar at the top of the Extension Marketplace window and type in 'Corpay One Integrations'

Step 2: Install Corpay One

  • On the Corpay One Extension page, click on the 'Get it now' button.

  • You will be prompted to confirm the installation. Click on 'Install' to proceed

  • Wait for the installation process to complete. This may take a few moments.

Note:

Before setting up the integration with Corpay One, please ensure that the user preferences are configured in Business Central. Additionally, please note that the individual configuring the integration in Corpay One must have accessed the company in Business Central. This allows us to download the user preferences during the configuration setup process.

Step 3: Configure CorpayOne

  • Once Corpay One is installed in Business Central, open your Corpay One application

  • Navigate to the “Integrations” tab under settings on the left navigation and select the Business Central integration; click "Connect"​


    ❗ This button will instead say Configure once you have already connected Corpay One with Business Central

  • In the pop-up window that appears, click "Connect"

  • In the next step, confirm the environment you would want to connect on Business Environment (in the event you have more than one environment)

  • Next, confirm the company profile in Business Central with which you wish to connect your Corpay One application (in the event you have more than one organization listed on your Business Central application)


    Click Next to Continue

  • Now you're back on the integration setup page in Corpay One, there are a few additional options.

    • Choose where your invoices, receipts, credit memos, and payments are to be mapped to, i.e. either a General Journal or a Purchase Invoice.

    • Set up the mapping for the payment method on bills when a journal entry has been generated.

    • Select your default Vendor and General Business Posting Groups for vendors created through the Corpay One platform.

    • Please tick the box if you wish to synchronize vendor attachments directly to the vendor profile in Business Central.




    Then click Finish to complete your Corpay One and Business Central integration set-up.

  • Corpay One will then automatically sync with Business Central; this may take a couple of minutes.

How do I disconnect from Business Central?

  • Navigate to Settings > Integrations, and click on the Business Central box. Click on the Configure button. You must first click Allow to allow Corpay One to view the current setup with your Business Central account. You'll be able to view the existing integration that's been set up between Corpay One and Business Central. Click Disconnect to disconnect the integration.

When and how does data sync occur?

  • When you submit an expense to Corpay One, you'll see a matching invoice entry in Business Central. In the integration setup, you can select whether this synchronization happens only when a document is approved or as soon as it's submitted to Corpay One.

  • When you pay a bill in Corpay One, you'll see the payment information reflected in Business Central.

  • Any changes to categories, departments, notes, etc. on a document in Corpay One will immediately be reflected on the corresponding entry in Business Central.

Once the synchronization is complete, your Business Central ERP and Corpay One will be connected, and you can begin managing your expenses and payments via Corpay One.

Congratulations! You have successfully integrated Corpay One with your Microsoft Dynamics 365 Business Central. You are now ready to streamline and automate your business expense management and payment processes.
